Event Manager

Galactic Panther Art Gallery – 1303 King Street, Old Town Alexandria, VA

Galactic Panther is seeking a highly organized, proactive, and client-focused Event Manager to oversee and execute private and public events within our contemporary art gallery space.

This role is ideal for someone who thrives in a fast-paced, creative environment and can balance sound engineering, hospitality, logistics, and relationship management.

 

Position Overview

The Event Manager serves as the primary liaison between clients, vendors, performers, and the gallery team. This role ensures events are professionally executed, compliant with regulations, and aligned with the gallery’s standards.

You will manage logistics for load-in, handle sound engineering for setting up instruments and microphones with mixer, supervise event staff, troubleshoot real-time challenges, and report performance insights to leadership.

 

Core Responsibilities

Event Management

  • Coordinate event scheduling and logistics
  • Meet clients for load-in and assist with setting up AV needs
  • Monitor guest flow, safety, and capacity limits
  • Troubleshoot last-minute issues (catering delays, technical problems, guest concerns)
  • Complete closing checklist after each event
  • Ensure that client equipment is not left behind

Client & Vendor Relations

  • Serve as liaison between clients, vendors, performers, and the gallery
  • Coordinate with caterers and outside vendors as needed
  • Ensure performers follow all gallery guidelines, including public safety, closing times, and artwork protection (stanchions remain in place)
  • Maintain professional communication before, during, and after events

Customer Service

  • Greet clients and guests, ensuring a welcoming and high-quality experience
  • Supervise event staff and relay any concerns or special needs
  • Address guest questions and resolve issues with professionalism

Operations & Compliance

  • Oversee compliance with permits, alcohol service rules, and insurance requirements
  • Relay weekly alcohol inventory needs to the General Manager via Slack (every Monday)
  • Notify gallery staff of facility needs (supplies, cleaning, maintenance)
  • Protect artwork and ensure adherence to gallery policies

Reporting & Promotion

  • Report event performance and insights to gallery leadership
  • Collaborate with the gallery team to increase attendance and develop new event concepts
  • Utilize connections in local music industry to identify promoters and performers who would be good fit for gallery
  • Identify opportunities for improving operational efficiency and client experience
  • Maintain AV gear and report when replacements are needed

 

Qualifications

  • 2+ years of experience in sound engineering with expertise in using a professional mixer board
  • Experience in event management, hospitality, venue management, or related field
  • Strong organizational and problem-solving skills
  • Proactive in identifying potential problems and devising solutions
  • Professional, confident communicator
  • Experience coordinating vendors and managing multiple moving parts
  • Ability to remain calm under pressure
  • Familiarity with alcohol service compliance and event permitting (preferred)
  • Flexible schedule, the shifts will primarily be in the evenings and weekends
